Services

Property evaluation

  • Prepare thorough documentation and photographs of both the interior and exterior of the property, recommend improvement options that can attract and retain renters to maximize rental rates and overall profitability, analyze and compare competing rental rates to determine the optimal pricing strategy, identify and discuss the pros and cons of allowing pets, children, and smoking, and evaluate the property’s location and type to determine the most suitable target renter.

Advertise and show the property

  • Ensure the unit or property is fully move-in ready, with well-maintained landscaping and exterior features to enhance curb appeal; create and develop an appropriate advertisement to attract and retain suitable tenants, properly publish listings through rental websites, yard signs, print publications, and relocation agency collaborations; show the unit to prospective tenants, effectively screen applicants to identify suitable candidates, and complete the rental application process by gathering all required documentation.

Tenant screening and selection

  • Conduct background checks through references, verify income using T4s or pay stubs, review credit history, perform an affordability analysis based on the prospective tenant’s income and expenses, rank applicants according to predefined criteria, and collect the last month’s rent for direct deposit into the property owner’s account.

Tenant move-in

  • Complete the lease agreement and move-in inspection, verify that utilities and other services are transferred into the new tenant’s name, collect the first month’s rent, manage and coordinate the move-in process with both incoming and outgoing tenants, and ensure that all lease agreements are properly upheld by both tenants and landlords.

Rent collection

  • Collect monthly rental payments, deposit rent directly into the landlord’s bank account, and recommend rent increases when necessary.

Eviction

  • Prepare and deliver appropriate eviction notices when required, work with a legal representative or attorney to facilitate eviction proceedings or mediation, and, if necessary, coordinate with law enforcement to remove the tenant from the rental property.

Legal

  • Refer the owner to a qualified attorney when necessary, comply with all current municipal, provincial, and federal legislation related to rental property management, and ensure tenants adhere to the rental agreement while taking appropriate steps to enforce its terms.

Inspections

  • Perform periodic interior and exterior inspections on a predefined schedule to identify repair needs, safety hazards, code violations, and lease violations, and report the property’s condition and status to the owner.

Accounts Payable

  • Work in coordination with the owner on accounts payable matters related to invoices sent to the Property Manager, and scan and forward all invoices to the owner for payment.

Financial

  • Maintain detailed documentation of expenses through invoices and receipts, keep comprehensive historical records including paid invoices, leases, inspection reports, and warranties, provide annual reports structured for tax purposes, and offer recommendations on relevant tax deductions related to the rental property.

Maintenance, repairs, and renovations

  • Establish a preventative maintenance policy to identify and address potential issues, provide 24/7 on-call support, maintain a network of licensed, bonded, and fully insured contractors, assign jobs to appropriate parties based on licensing, compliance, cost, and quality, and supervise landscaping, snow removal, other operational services, and capital work as needed.

Tenant move-out

  • Conduct the move-out inspection, negotiate with the tenant if needed to address willful or neglectful damages, ensure the last month’s deposit is returned when applicable, and prepare the unit through renovation and maintenance to make it ready for showing and re-renting.

Reporting

  • Provide property owners with a monthly activity report, interior and exterior inspection reports, move-in and move-out inspection reports, and communicate any extraordinary events or activities that occur on the property.
